We process personal data that you have provided to us in connection with the “Main service”.

We process this personal data in order to comply with our contractual obligations to you when you book a visit with us. We use your data in our system to be able to reserve a room, conference or table for you.

Typically, these are personal data:

  • Name, address, phone, email, CVR No.
  • Customer/supplier relationship
Delete and retention deadlines

We strive to delete (or anonymize) personal data as soon as it has no relevance. However, we keep them as a starting point for at least 5 years due to the Accounting Act.

Your rights in relation to the General Data Protection Regulation

In connection with our processing of your personal data, you have several rights:

  • The right to access your personal data.
  • The right to have incorrect personal data corrected.

Overnight booking terms and conditions and cancellation policy

Terms of order

For standard bookings booked through guestapart.dk, the following terms apply:
The booking can be cancelled until 2 PM the day before arrival.
The booking can be shortened until 11 AM on the new departure date.
The booking can be extended subject to availability.
Standard bookings are settled in advance of the stay.

For bookings made as non-refundable (Non-refundable):
The booking is paid at the time of booking. The booking can be cancelled for free up to 7 days before arrival and refunded. If the booking is cancelled between 7 and 0 days before arrival, 100% of the total booking price will be charged.

For long stay and company agreement:
Special conditions apply. See appointment document and booking confirmation.

Once you have booked your booking, you will receive an order confirmation with a five-digit reference number.
The day before arrival, you will receive an SMS with a payment link (unless the stay is paid).
On the day of arrival, you will receive an SMS with information about your room number.
On the day of departure, you will receive an SMS with a link to check-out (and possibly payment of outstanding debts).
The reception at the hotel is staffed all days between 7 AM and 11 PM.
You can pay with the following cards: Dankort, American Express, Eurocard, Mastercard, Visa, Visa Electron and Mobilepay.

Right of withdrawal

You can cancel your purchase of standard accommodation until 11:00 on the day of arrival by writing to hello@guestapart.dk where you indicate the reference number and write that you wish to cancel. For non-refundable stays, no right of withdrawal applies.

Access to appeal

If you are not satisfied with the service provided, please contact hello@guestapart.dk for clarification. You also have the opportunity to complain to the relevant board.

Conference booking terms and conditions and cancellation terms

At Hotel GUESTapart, we understand that plans can change, especially when it comes to meetings. That's why we have flexible cancellation policies to meet your needs. However, it is important to be aware that if a cancellation occurs too late, we may need to collect payment. This is due to the need to cover costs associated with already planned personnel, procured and prepared raw materials, as well as potential lost capacity utilization.

Cancellation policy

Cancellation of the entire event (including course, conference, meeting or party) may be timely made in writing no later than 20 working days before the event is held. In case of cancellation of the entire event from the 19th to the 10th working day before the event, the hotel may charge a payment equal to 65% of the price of the booked services. Alternatively, the event must be moved to another date within three months from the date of the original meeting. It is possible to move the original arrangement once. In case of cancellation of the entire event from the 9th working day until the day of the meeting, the hotel will charge a payment equal to 100% of the price of the booked services. In case of non-attendance, the hotel is entitled to take full price for the entire event.

Change in the arrangement

Any change in the event, including catering, dietary considerations, number of participants, duration, etc., must be made in writing in a timely manner no later than 10 working days before the event takes place. For changes that take place between 9 and 0 working days before the start of the event, the hotel reserves the right to charge a payment equal to 100% of the price of the booked and confirmed services.

As a rule, you do not have a two-year right of complaint, since it is a service. We therefore encourage you to contact us as soon as possible in case of any problems.

You have the right to rectify any deficiencies in the service that can be attributed to the nature of the service, unless these are your own circumstances, or other external circumstances for which we cannot be held liable under Danish law.

As the tenant of the premises and rooms, you are obliged to pay compensation to the landlord for any damage caused by you or your guests during the lease to buildings or fixtures in all the rented facilities.
